Contract Type: Administrative – Full time
The Research Office guides and supports GUtech researchers through all phases of research and consultancy projects from the administrative side. The tasks ranges from picking up research ideas, finding appropriate research funding, providing support for applications and proposals, for project management, reporting, interaction with authorities, research partners and funding institutions as well as financial planning.
The research assistant will support those administrative, organizational and operational functions of the research office.
He/she will plan, coordinate and organize day-to-day office activities; will assist department academics in their research activities and will ensure flow of communication and sharing of information. He/she reports to and works closely with the Research Focal Point.
Work experience/Knowledge and abilities:
- Research assistant experience.
- Proven administrative abilities.
- Good knowledge of the national funding mechanisms (TRC, EJAAD, others, …).
- Good knowledge of international funding opportunities and call for proposals.
- Excellent organizational and interpersonal skills.
- Excellent communication and reporting skills (written and spoken).
- Strong IT skills.
- Ability to work on own initiative.
- Effective use of Microsoft Office, databases and spreadsheet software programs and information and data management systems.
Duties and responsibilities :
Administrative tasks and duties
- To arrange and schedule meetings, workshops, conferences and special events.
- To compile and prepare agenda items, keep and communicate minutes for the meetings.
- To assist with preparation and compilation of data, surveys and reports.
- To initiate public relations, dissemination and communication services in support of the research office.
- To liaise with the departments and principal investigators to help and support them with their research activities.
- To develop and implement a follow-up mechanism to ensure all relevant queries are addressed on time and efficiently.
- To undertake duties assigned by the Research Office head.
Project management tasks and duties
- To inform researchers about the procedure, policies, and guidelines: types of funding programs, roles and responsibilities, eligibility criteria, submission procedure.
- Supporting researchers in the management, coordination and follow up of funded projects.
- Supporting the researchers in recording and reporting: progress reports, comprehensive reports, and final reports.
- Meeting deadlines and following the project plans.
- Monitoring and ensuring quality and timing of deliverables and milestones.
- Supporting researchers to carry out the financial management of funded projects.
- Follow-up the acquisition of supplies and equipment and ensure the update of the inventory with the concerned department
