Job Purpose
The Graduate Studies Executive is responsible for supporting the day-to-day operations of the Graduate School, ensuring efficient administration, promotion, and delivery of postgraduate programmes. The role involves coordinating admissions, student services, academic administration, recruitment activities, and programme delivery while maintaining effective communication with prospective students, current students, faculty members, and external stakeholders.
Key Tasks and Responsibilities
  • Manage enquiries from prospective students and provide accurate information on graduate programmes, admissions requirements, scholarships, and application procedures.
  • Coordinate the admissions process, including application tracking, document verification, communication with applicants, and preparation of admission-related reports.
  • Support the planning, scheduling, and delivery of graduate programmes in collaboration with academic departments and faculty members.
  • Coordinate programme timetables, classroom logistics, examinations, student records, and graduation-related activities.
  • Serve as the primary point of contact for current students regarding academic and administrative matters.
  • Assist in organizing orientation sessions, workshops, seminars, guest lectures, industry visits, and graduation events.
  • Support recruitment initiatives by participating in education fairs, exhibitions, company visits, information sessions, and promotional campaigns.
  • Assist in developing and updating promotional materials, website content, social media content, and programme information.
  • Maintain accurate student records and prepare statistical reports, enrolment data, and management reports as required.
  • Coordinate communication with academic staff, external partners, government entities, and industry stakeholders.
  • Support quality assurance processes and ensure compliance with university policies and academic regulations.
  • Assist in developing new graduate programmes and contribute to continuous improvement initiatives within the Graduate School.
  • Perform any other duties assigned by the Graduate Studies Manager.

Qualification, Experience and Skills
Education/ Professional Qualification
  • Bachelor’s degree in business administration, Management, Marketing, or a related discipline.
Work Experience
  • Minimum of 0–2 years of experience in higher education administration, admissions, student services, programme coordination, or a related administrative role is preferable.
  • Experience in recruitment, event coordination, or marketing within the education sector is an advantage.
Skills and competencies
  • Excellent organizational and time management skills.
  • Strong interpersonal and communication skills in English and Arabic.
  • Ability to manage multiple priorities and work under pressure.
  • High level of accuracy and attention to detail.
  • Strong customer service orientation.
  • Excellent report-writing and presentation skills.
  • Proficiency in Microsoft Office applications and student information systems.
  • Ability to work independently and collaboratively within a multidisciplinary team.
  • Willingness and flexibility to work evenings and weekends when required.
